Import a bank statement and categorize each transaction
The Bank transactions page is the central desk of continuous bookkeeping. Drop statements (PDF, Excel or CSV), categorize each operation (account + tax), and each categorization automatically posts an operation entry feeding the trial balance. Transactions are kept, come back any time.
Open Bank transactions
Engagement's left menu → BOOKKEEPING → Bank transactions. Each bank account appears as a card with its bank balance, GL balance, and a reconciliation indicator.
If no account shows, go to the Trial balance and add at least one bank account (number type 1010, group A1). A + Add an account… button also lets you create the account directly from Bank transactions.
Drag and drop a statement
On the target account's card, drag the statement (PDF, Excel or CSV) into the drop zone. Click to choose the file instead.
If your PDF is an image (text not selectable), Ledger says « Image / scanned PDF, use the bank's text PDF ». Ask the client for the PDF the bank sent, or send the file to support to add the format.
If needed, use the Converter
For a PDF whose layout isn't recognized yet, or any funky file, use the Statement → Excel converter tool first (left menu → TOOLS). Drop the PDF, get a clean .xlsx (Date, Description, Signed amount), then drag it into Bank transactions.
The converter handles multiple statements at once, corrects signs by column position, reconciles by balance. Nothing leaves your browser.
Import wizard for Excel / CSV
For a tabular file (Excel or CSV), Ledger opens a small 2-step wizard :
- Step 1, File format. Is the first row a header ? How many amount columns (one signed, or two debit/credit) ? Date format ?
- Step 2, Map columns. For each column, indicate its role : Date, Description, Amount, Debit, Credit, or Cheque #. A live preview shows the read transactions.
Click Import X transaction(s). Ledger tells you how many were imported, how many are in other engagements, how many duplicates were skipped, how many not imported (frozen year, no date).
To review tab : categorize
Imported transactions land in To review. For each, pick :
- The category (TB account, e.g. 5100 Rent, 5200 Advertising, 4000 Sales).
- The tax (applicable code, e.g. GST+QST expense, No tax, GST+QST sale).
Click Add. Ledger posts an operation entry that feeds the TB. The transaction disappears from To review and shows up in Categorized.
Use suggestions and build rules
Ledger learns from each entry :
- « Seen before » suggestion : when a description has already been categorized (this engagement or last year), Ledger suggests « Seen before : {account} · {tax} · seen X times ». Apply to pre-fill.
- Transfer suggested : when a matching amount shows in and out on same date across two accounts, Ledger suggests « Possible transfer to account X ». Classify as transfer links them.
Missing account? Type its name in the category picker and pick "+ Create account “fuel”" at the bottom of the list. The creation dialog opens with the name prefilled: pick the number while seeing which nearby numbers are already taken in the chart, then the grouping by search (word, code or GIFI). The account is born classified (grouping, type and GIFI set), at zero balance, and comes back selected right away.
For recurring ones, tab Rules : add a rule « Description contains = Rogers → Category = 5320 Telecom, Tax = GST+QST ». Rules apply on import, and on demand via Apply rules.
Split, exclude, bulk actions
Split : Split button on a transaction, distribute the amount across several accounts (e.g. an invoice with meals 50% + supplies 100%). Total must match the amount.
Exclude : Exclude button to ignore a transaction (e.g. a personal transfer). Stays visible in the Excluded tab, no entry posted.
Bulk actions : check several transactions, then use the top bar : Supplier…, Category…, Tax…, Categorize (posts the entries), Exclude. The net total of the selection shows next to the count, and a supplier left blank changes nothing. Useful for classing a month of bank fees or deposits in one shot.
Under each taxed amount, a chip (e.g. "GST+QST incl.") reveals on hover the base before tax, each tax with its chart account, and the statement total.
Mass reclassification (Categorized tab): Category / Tax / period filters sit above the table ("With tax" grabs everything that carries a tax in one go). Select, then fill Supplier, Category or Tax (blank = unchanged) and click "Reclassify N entries": every linked entry is rebuilt, base and tax accounts recomputed, with progress and a summary. Typical case: the client turns out not to be GST/QST registered → filter "With tax", select all, Tax = "No tax", Reclassify. Split lines are skipped with a notice.
Verify in General ledger
Left menu → General ledger. Interactive balance : expand an account to see its operation entries, click a row to open the full entry. The account balance must match the TB.
Useful filters : « From date », « To date » (period), and « Continuous (all years) » to view the client's GL across all engagements. Export Excel for a full .xlsx.
How it feeds the TB
Each categorized transaction posts an operation entry :
- Debit the expense account (or credit the revenue account) + possibly tax accounts.
- Offset : the bank account.
These entries appear in Adjusting entries with a source : operation badge. They can't be modified there directly (they're driven from Bank transactions), but they impact the TB like any entry. The TB's « Operation » column aggregates these ; the « Reg. » column aggregates manual adjusting entries.
